Data Protection Policy

Purpose and scope

This policy describes how NetExplorer SAS (operating under the Voltn brand) processes personal data collected via the voltn.eu website as part of its marketing and commercial activities.

It applies exclusively to data collected via website forms (contact requests, demo requests, registrations, downloads, etc.). It does not cover data that our clients host within Voltn solutions (Share and Workspace): for such processing, carried out in our capacity as a data processor, separate contractual documents (Data Processing Agreement / DPA) apply and are made available to professional clients.

Data collected

We only collect data that you voluntarily provide to us via the website forms, particularly when you:

• make a contact or demo request;
• subscribe to our newsletter;
• download a resource (white paper, guide, etc.);
• register for a webinar or event;
• submit a job application.

The data concerned may include: last name, first name, professional email address, phone number, job title, company name, and the content of your message. Mandatory fields are indicated in each form; others are optional.

All these forms are managed via our customer relationship management tool, HubSpot.

Purposes and legal bases

Your data is processed for the following purposes:

• Responding to your requests (contact, demo, information) — legal basis: pre-contractual measures or legitimate interest in responding to your inquiries;
• Sending you our marketing communications (newsletter, invitations, content) — legal basis: your consent, which you may withdraw at any time;
• Managing our commercial relations and prospecting — legal basis: legitimate interest in developing our business;
• Processing job applications that you send us — legal basis: pre-contractual measures;
• Measuring the performance of our email campaigns (see below) — legal basis: your consent.

Email open tracking (tracking pixel)

Our marketing emails may contain a tracking pixel, integrated via HubSpot. This tool allows us to measure the open rates of our communications as well as the times they are viewed, in order to improve the relevance and frequency of our mailings.

This tracking only concerns our marketing emails and is based on your consent, obtained at the time of your registration. You may opt out at any time by unsubscribing via the link provided at the bottom of each of our emails.

Data recipients

Your data is intended for the marketing and sales teams at NetExplorer SAS. It is processed within our HubSpot tool, which acts as a data processor on our behalf.

We do not rent, sell, or share your data with third parties for commercial purposes.

Data hosting and transfers

Data collected via our forms is hosted within the European Union, in Germany, on our HubSpot infrastructure.

As HubSpot is published by a U.S.-based company, access to your data from outside the European Union cannot be entirely ruled out, particularly for support or technical administration purposes. Such access is governed by appropriate safeguards in accordance with the GDPR (European Commission standard contractual clauses and/or the provider's adherence to the EU-U.S. Data Privacy Framework) to ensure an adequate level of data protection.

Retention periods

We retain your data only for as long as necessary to fulfill the purposes for which it was collected:

• Prospects and contact requests: up to 3 years from your last contact with us;
• Newsletter subscribers: until you unsubscribe, followed by deletion or anonymization;
• Job applications: up to 2 years after our last interaction if no hiring occurs, unless you object;
• Customer relationship management data: for the duration of the relationship, then in accordance with applicable legal obligations.

These periods align with CNIL recommendations and may be adjusted based on specific legal requirements.

Data security

NetExplorer SAS implements appropriate technical and organizational measures to protect your data against loss, unauthorized access, disclosure, or alteration. This commitment is part of our comprehensive security approach, supported by our ISO 27001 and ISO 9001 certifications, GDPR compliance, and an end-to-end controlled infrastructure hosted in France.

Your rights

In accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act, you have the following rights regarding your data:

• right of access and rectification;
• right to erasure;
• right to restrict processing;
• right to object, particularly to direct marketing;
• right to data portability;
• right to withdraw your consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal;
• right to define directives regarding the fate of your data after your death.
